Organize Your Work

Taskade is built on a simple hierarchy that consists of πŸ—ƒ Workspaces, πŸš‹ Folders, and πŸ“ Projects. This structure three-level structure allows you to:

  • Organize your team structure and roles within dedicated workspaces.

  • Centralize client interactions, feedback, and deliverables.

  • Aggregate resources by categorizing them into folders.

  • Use projects to break down complex tasks into actionable steps.

Create a Project

A single project can be as simple as a page in a notebook or as complex as a highly organized team collaboration hub. Here's how to create one:

  1. Open the Taskade app and navigate to a workspace or folder.

  2. Tap the βž• New project button at the top of the screen.

    • Select a custom template.

    • Browser the gallery.

    • Start with a blank project.

Organize Tasks

Complete tasks, add backlinks, copy tasks, and more.

  1. Open a project and tap a task to select it.

  2. Choose one of the formatting options from the toolbar at the bottom:

Manage Tasks

Format tasks and change their place in the document hierarchy:

  1. Open a project and tap a task to select it.

  2. Choose one of the formatting options from the toolbar at the bottom.

  3. Swipe left or right to show more options.

Use Add-Ons

Add-ons give you access to powerful productivity features like a Pomodoro Timer:

  1. Open a project and tap a task to select it.

  2. Tap βž• in the bottom toolbar.

  3. Choose one of the Add-ons from the menu.

Link Tasks And Projects

You can combine projects across folders/workspaces and navigate between them in seconds.

  1. Open any of your projects and select a task/note.

  2. Type @ + the title of the project you want to link to.

    • Alternatively, tap Β·Β·Β· ➑ @Mention in the bottom toolbar.

  3. Select a project from the list to instantly add a backlink.

Share Your Project

You can invite an unlimited number of users to a Project via email:

  1. Open a Project and tap the three dots Β·Β·Β· in the top-right corner.

    • You can also tap your profile avatar in the top-left corner of the project.

  2. Select πŸ“€ Share and and customize the invitation.

  3. Set Permissions for the new team members (see the next section).

  4. Invite via email, add workspace collaborators, or use contacts on your device.

  5. Tap Send Invite to finish adding collaborators.

Use Templates

Choose from hundreds of templates and AI generators to get started quickly. You can also create your own templates from scratch and automate repetitive tasks.

  1. Open your workspace or folder and tap the βž• New Project button.

    1. Tap βž• Create a Template to open a blank template page.

    2. Tap Browse Templates to pick a template from the gallery.

  2. Tap Create (top-right) to add the project to your workspace/folder.

Desktop vs. Mobile Features

Some desktop features are not fully supported on mobile devices. We're working hard to bring them to iOS and Android so stay tuned!

Offline Mode (iOS & Android)

Taskade requires an active internet connection to sync projects. But don't worry, you can still edit your projects when offline. The app saves any changes locally and will resync them as soon as you're back online.
