Use Taskade to coordinate multiple teams for preparing and conducting interviews with potential new hires.

Overview

Effectively interviewing potential new team members requires seamless coordination across your company. With Taskade, interviewers, recruiters, and hiring managers can collaborate to create a consistent set of questions for each candidate. Turn this set of questions into a template to use for multiple interviews, send our invitations, generate and send follow up emails automatically, all with Taskade.

Here's what we'll cover:

  • How to create and collaborate on a template.

  • How to create an automation to use the template and send an email of the project link to the candidate.

  • Conduct the interview call within the project.

  • How to create an automation to send a followup email to the candidate.


Create a template

First lets get the AI to create a project as a draft before we turn it into a template for the team to collaborate on.

  • Using AI Project:

    1. Click on Create new.

    2. Click on AI Project.

    3. Fill in the instructions on what you would like the template to be about and contain.

    4. Press Enter or click on the Arrow.

    5. Prompt the AI further if there are specific sections you want to change.

    6. Once you are satisfied, click on Create project.

With the draft project created, lets share it with the rest of the team, having a Taskade account is optional to collaborate on the shared project.

  • Sharing the project for collaboration:

    1. Click on Share icon in the top right corner of the project.

    2. Click on Invite to project.

    3. Invite other team members by copying and sharing the link or entering their email to send an invite directly.

    4. Collaborate on the project, communicating using varies features such as:

After collaborating and the final set of questions has been decided on, it's time to convert the project into a template that you or an automation can reuse.

  • Converting a project to a template:

    1. Navigate to the workspace screen.

    2. Hover over the project and click on the Triple dot icon.

    3. Click on Add to Templates.

    4. (Optional) Rename the template to differentiate it from the project.

    5. Click on the workspace/folder you want to conduct interviews in.

    6. The templates can be found in the workspace/folder's Drop down icon.

    7. Click on Templates.


Use the template

With the template created, lets create an automation that will automatically create a project based on that template when an applicant's status has changed to "Pending Interview".

๐Ÿ’กNote: The custom field must be created in the project, similar to the dashboard shown in the Track Applicants section here.

Setting up the automation:

  1. Navigate to the workspace screen.

  2. Click on the Automations tab and click on Add Automation.

  3. Click Start from scratch.

  4. Select the appropriate project where the applicant's status is being tracked.

  5. Select the Status field.

7. Add an Only Continue If action.

8. Select Status in the Data field.

9. Select the Field Value as Pending Interview.

10. Add an Create Project From Template action.

11. Select the template previously created.

12. Toggle the automation in the top right corner to make it Active.

With the automation complete, now when an applicant's status is updated to a specific status, a project will be created from a template to prepare for the interview.


Conduct the Interview

Anyone who joins the project start a video call allowing the interview to be conducted directly within Taskade.


Send a follow up email

By using similar actions as the automation previous created, Taskade can help to generate a rejection or acceptance email through an AI agent that will automatically send an email to the applicant when an applicant's status has changed to "Rejected" or "Accepted".
