Overview

Personal and work projects have one thing in common — they rely on structure and order. That's why we built Taskade on a simple hierarchy that consists of 🗃 Workspaces, 🚋 Folders, and 📝 Projects. You can use all three in free and paid plans.


Workspaces

A workspace sits at the top of the hierarchy structure. It's your productivity space where you store all your projects and folders (more on that below). A workspace lets you tag and filter projects and keep everything organized.

  • Each new workspace is billed separately.

  • All workspaces come with a Home folder.

  • Workspaces have unique members and permissions.

  • You can create multiple folders within a workspace.

💡 Examples: A workspace represents your organization. You can create one for your startup or freelancing business. You can also set up a workspace for a large business with multiple teams and departments organized into separate folders.


Folders

Folders, like workspaces, are also collections of projects, except that they are "nested" within a workspace. Each Folder is a separate space with unique tags, team members, templates, and permissions.

  • Use folders to group teams/clients/departments.

  • Organize your personal and work projects into separate folders.

  • Folders are private by default so you need to invite people to collaborate.

  • You can modify folder settings in Folder Permissions.

💡 Examples: If you work with multiple clients, you may want to create multiple folders inside a workspace to work and chat with them in separate spaces. You can also create folders for each team/department in your company.

Ok, let's dig a little deeper.


Projects

Projects are like a blank canvas. They can contain just about anything, from notes and to-do lists to documents, mind maps, images, and videos. A project is also a collaboration hub where you can work and chat with your team.

  • A project is always located inside a Home Folder or Folder.

  • You can create an unlimited number of projects.

  • Each project can have separate collaborators and guests.

💡 Other Use Cases: If you are familiar with the Getting Things Done (GTD) productivity method, you can use a project as an inbox before reorganizing the tasks into other projects. Projects can also be used to speed up navigation between other projects using Backlinks.


Blocks

Blocks are collections of tasks and sub-tasks. A block can consist of many types of nodes, all grouped together under an H1 or H2 heading. You can quickly create blocks of identical tasks by clicking the ➕ Add Block button.


Tasks / Nodes

A task/sub-task (or "node") occupies a single line inside a project. Every task can have many sub-tasks, each with its own sub-tasks nested under it.

Taskade lets you quickly transform your tasks into:

  • ℹ️ Paragraphs

Horizontal Hierarchy

Vertical hierarchy adds another dimension to your workspaces and folders. It also gives you access to additional features and functionalities from a central dashboard.

The Projects tab aggregates all your projects within a folder/workspace.

The AI Agents tab allows you to create and manage individual AI agents.

The AI Teams tab groups your specialized AI teams within a folder/workspace.

The Automation tab allows you to build and manage automation flows.

The Media Tab provides easy access to uploaded files and documents.
