Overview
Streamlining the onboarding process for new hires. With Taskade, HR professionals, team managers, and IT support can work together to utilize AI Agents and automation tools. This allows the seamless processing of new hire information when forms are filled, automatically triggering the sending of welcome emails and messages. This efficient approach ensures a smooth and engaging onboarding experience, helping new employees integrate quickly and effectively into the company.

Generating an Agent
Generate an Agent
Click on Create agent or Create with AI in the AI agents tab of the workspace.
Describe your agent's task as a prompt for the agent to be generated. In this use case, we will be creating an agent to help with new hires and creating messages for them.
Create the Project
Use the Table view
Create a project and use the Table view, add blocks to help organize various statuses of the new hires.
Add in relevant Custom Fields to keep track of statuses in the onboarding process, ensure that there is an email field for the automation to use.
Create the Automations
An automation to track the new hires' onboarding process and send them a greeting email.
In this use case we will assume that the user already has a Google Form to obtain information about the new hire. Use the New Response Google Form Trigger.
Add in the automation actions, Ask Agent, Add Task and Send Email respectively.
Fill in the Ask Agent action with a prompt to generate the welcome email, reference the user's name from the Google Form using the @ command.
Fill in the Add Task action with all the relevant information given in the Google Form.
Fill in the Send Email action with the user's email address and the generated welcome email.
An automation to send additional company information
Use the Task Custom Field Updated Trigger. Add an Only If action to ensure that only when a status is updated to a specific type the automation will continue and send the email.
Add a Delay action (if you don't want the email to be immediately sent), an Ask Agent action and a Send Email action respectively.
An automation to send a request for hardware
Use the Task Custom Field Updated Trigger. Add an Only If action to ensure that only when a status is updated to a specific type the automation will continue and send a Whatsapp Template Message to another department.
Add a Whatsapp Business Send Template Message action.
An automation to inform the rest of the team about the list of new hires
Use a Every Day Trigger and Find Task action, this will help to check the Onboarding project for any new hires which have not been welcomed.
Add a Transform Array into String action, Ask agent action, Send Channel Message action, a Loop, and an Update Custom Field action.
This will help to generate the message with the list of new hires and update each new hires' status to ensure they are now welcomed again the next day.
